We are pleased to you have you as a member of our Valley City State University Library Staff!

As an employee of Valley City State University and the Library, you will be expected to follow these rules and policies. Before you receive your first paycheck, you will be asked to sign a checklist form indicating that you have read and agree with the rules.

Allen Memorial Library is proud to support a large number of student employees. Much of the important work that happens in our library is the direct result of student employees’ accomplishments. We appreciate the time and effort that students invest in making our campus operate efficiently and effectively.

As an employee, you are taking the first steps toward a lifetime of work and achievement. Your job on our campus is a real job. It affects the day-to-day operations of the library and the quality of our services to the students, families, staff and faculty that make up our VCSU Community.

You should take your campus job seriously as it can help you learn many skills that will translate to future work success. The Library Director as your supervisor will likely be called to provide a reference or recommendation for you when you are searching for employment after graduation. Future employees will be looking at your work experience to discover your skills, talents, and work ethic. Your time as a student should not be wasted. Learn all that you can and explore the areas that interest you for your future.  No knowledge is wasted!

For an Emergency Absence: If you find that you cannot come to work at your scheduled time because of an emergency you MUST immediately call 701-845-7277 and ask for your Immediate Supervisor. If your Immediate Supervisor is not available, then ask to speak to one of the adult staff to tell them you can't come in. If the Library is closed, and no one answers the phone, leave a voice message at 845-7277; then follow up by sending an email to library@vcsu.edu explaining your emergency situation, plus the date and the shift you will miss as well as the name of the person who answered to your emergency absence call, if someone did.

For a Planned Absence such as sport activities or course related trips, you must notify your Immediate Supervisor at least TWO WEEKS IN advance. Your Immediate Supervisor will let you know if you need to find a replacement or make the time up. Your Immediate Supervisor will discuss alternative  arrangements with the Library Director who will approve the absence.

Unexcused Absences:  If absence procedures are not followed, you will receive an unexcused absence notice which you and your Immediate Supervisor will sign; it will be placed in your personnel file. THREE unexcused absences may be grounds for dismissal from your job at the Library. After the 3rd unexcused absence, your supervisor will set up a meeting with you, your Immediate Supervisor and the Library Director to discuss options and determine further actions.

Student employees are required to “clock in” at the beginning and “clock out” at the end of each shift.  If there is a problem with Web Clock or you forget to clock in or out, please fill out the WEB CLOCK CHANGE REQUEST form (purple sheet). Have your supervisor sign on it. Forms without your supervisor's approval is NOT processed and it may delay your paycheck! Leave the form in Donna's mailbox.

Students are paid on 15th and 30th of the month. Please note that the first paycheck is deposited in your bank account at the end of the 2nd payroll period!

How to log your hours using Web Clock:

  1. Use the Oracle PeopleSoft Sign-in shortcut on the desktop of any library employee workstation. Oracle PeopleSoft desktop shortcut screenshot
  2. Sign in with your CampusConnection username and password. PeopleSoft login screenshot.
  3. In the upper left corner of the screen, click Main Menu > Self Service > Time Reporting > Report Time > Web Clock. (Note: After you do this the first time, the Web Clock link should be available directly from the Favorites menu.)Employee Self Service Main Menu screenshot
  4. In the Web Clock, choose the appropriate punch type (In when you arrive for work, Out when you leave), and click the Enter Punch button. Web Clock Enter Punch Screenshot

Confidentiality- Do not discuss information seen or heard during work

You will work with confidential library records at Allen Memorial Library and will be expected to read, understand, and sign a Confidentiality Statement. Do not give out information about who has an item on loan.  You may answer inquiry by stating when the item in question is expected back. Portfolios from the archives are not available for check out.  Unauthorized release of confidential information is a serious violation of the Family Educational Rights and Privacy ACT (FERPA), which may result in termination of employment and potential legal action.

You may be entrusted with photocopier, phone and printer codes in order to provide paid services for library patrons. These codes are not for your personal use. Thus do not share these codes with others or give “free services” to others. Misuse may result in dismissal from employment at the library.

If you use library supplies please put them back where you got them.  Library supplies are not for your personal use.

Library Office Equipment, Phone Messages, Personal Conduct

It is university policy that computers, phones, fax machines, photocopiers, printers and other resources are the property of the university to be used in conducting job-related work. You should not make or take calls on your personal phone or the library’s phone during your working hours (except emergency).  Misuse of university resources is grounds for dismissal.

  • Please take accurate phone messages for staff when they are unavailable.  For phone messages, use the pink note pad.  For all messages, make sure to sign and date!
  • Behave in a professional manner while you are at work. When meeting friends and family at the work place, please arrange to meet them in the lobby or outside of the work area. Work space area is limited and it can be very distracting to other staff members if personal discussions are taking place in non-public work areas.
  • Computer use: you can check your email. However, it is not appropriate to read or respond to personal email or complete your homework at any time while at work. Work computers should not be used for personal use such as playing games, texting, browsing on face book, watching movies (youtube) or surfing the internet, etc …and will be noted by /to your supervisor.  Do not download anything on work computers without permission!
  • No personal laptops at work (except with permission from your supervisor)

A neat and clean appearance is always required.  Wear your name badge when you are working. This helps patrons identify you as someone employed at the library.

What not to wear: Tight leggings or spandex, tank or crop tops, tattered or ripped clothing, sweat pants, or caps.

Shoes should be worn all times. Sweatshirts and t-shirts are allowed, however, please be sure that any messages on them are in line with the mission of VCSU.

Keep in mind that while we don’t have to like everyone with whom we work, we do need to be able to do the work in our unit together. First, consider if you can discuss the conflict with your co-worker. If that is not possible, talk with the Director or your supervisor. Together we can discuss possible ways to handle the conflict. Remember: conflict resolution requires that both parties participate in attempting to solve the problem.

At the end of each semester your performance evaluations will be conducted. You will meet briefly with your immediate supervisor to discuss work performance and jointly agree on performance ratings.We want you to be successful and satisfied in the work you do with us. If you are unsure of how to do anything, or just wonder why we do something a certain way, please, ASK us. We really appreciate a thoughtful and inquisitive worker.

For short breaks (bathroom, drinks, etc.), inform a staff member or student employee so they’ll know to work at the front desk.  The circulation desk should NOT BE LEFT UNATTENDED!  For longer breaks, you may want to schedule in advance if there is a specific time you’d like to take your break.

Student employees are eligible for one ten minute break for every four hour consecutive hours worked.  It is not appropriate to come to work 10 minutes late or to leave 10 minutes early and count that as your break.

When working an eight-hour day, you are entitled to a meal time of at least 30 minutes. You are not paid for meal periods when you are completely relieved from duty during the break, so be sure to clock out at the beginning of the break and clock in at the end.

There is a small refrigerator available in the center office for use by employees. Feel free to use it, bringing pop and/or snacks to work to eat during your break time. Keep track of any items that you put in the fridge and throw away any old items.  Please do not eat lunch/supper/snacks at the Circulation Desk or in areas where the public can see you. Help yourself to treats that are set out on the table in the center office—we enjoy treats as often as we can at the library!

  1. If you don’t know something, ASK!  Do not assume!
  2. Arrive on time for your scheduled shifts. Tardiness is not acceptable.
  3. Respond to library customers immediately.
  4. Appropriate dress and good personal hygiene are expected; you are serving in a customer service environment.
  5. Confidentiality - Do not discuss information seen or heard during work.
  6. Inform friends, roommates, and residents that you are not available to visit with them while you are working. 
  7. Library photocopier, phones, computers are for library business use.  Computers are not used for social networking such as Facebook, Myspace etc. You will know the library copy code so that you can perform certain functions for the library.  This code is not to be shared with or used for you or your friends personal photocopying.
  8. Put your cell phone on vibrate or power it off while you are working. You cannot listen to music, text or play with your phone or (any other device) while you are working because you should be giving your work full attention!
  9. Be a "see and do" person. Take responsibility and initiative for jobs needing to be done.  Example:  if books or dvds on the bookshelf are messy, straighten them. You do not need to be asked to do this, it is expected.
  10. If you completed a work assignment, it is your responsibility to inform your supervisor.
  11. Check your campus email for notifications. It is our primary way of communicating with all of you when you are not at work
  12. All "in-house" notes/messages" need to be signed and dated.

As an employee of the Library, we will be communicating with you through the official means of communication on campus, your Valley City State University email account. You are expected to check your email for messages from Library Staff at least once per day and if you receive a message, you are required to reply to it. Your reply can be as simple as "I got it!" or "Okay" but you must send an acknowledgement of having seen and understood the content of the email. Communication is one area that you will be evaluated on, so reading email and responding is important to both us and you.
