Patron interface verifying : PRIMO

After checking the physical item, check the item’s record on our Primo catalog.  If you find any errors, return them to the cataloger.

1. From the Library Homepage, click Advanced Search to enter Primo.

2. Search for the book. You can search by ISBN if the barcode is available to scan; otherwise you can search by title and/or author.

3. Go through the results, and match the item with the correct entry. All of these must match.

a. Title

b. Location – You need to cross check this against the locations on the cheat sheet. For instance, if there is item with yellow label cover and the call number is starting with NDC, this item should be North Dakota Collection – 1st floor.

c. Call number (Pay special attention to pre-stamps and post-stamps)

 

5. If there are multiple items that show up under location, check to see if either of them have the status "Lost" or "Missing". If so, and if the description for that item is identical to any other item within this record, then the item record was improperly replaced. Follow the directions in step 7 to return this to the cataloger.

6. If you find anything odd or inconsistent that doesn’t seem right, complete the bottom part of the VERIFICATION PROBLEMS form.  Be sure to change the item status back to cataloguing status (CT) and then return both item and form to the Cataloging Errors box.

7. Continue onto the Patron interface verifying : WorldCat step.

Patron interface verifying : WorldCat - Discovery

After checking the item on Primo, you’ll need to check that our holdings for this record exist on WorldCat.

1. Check again if the item has a scan-able ISBN number on its back

a. If yes: Scan in the ISBN number, and WorldCat will begin the search.

b. If no: Go back to Primo and copy the OCLC number.  Look in the Details tab for the Identifier.Go back to WorldCat, paste the OCLC number (no letters), and then press Enter or click on Search. If there are multiple OCLC numbers in the Identifier, you may need to try each of them to retrieve the matching record.

c. If you have searched for all OCLC numbers and still come up with no results, then copy and paste the title into the search box, and press Enter or click on Search.

 

2. Once the search is complete, you should see, on the top of the results, an item record with VCSU symbol.

3. If the matching record does not have the VCSU symbol, complete the bottom part of the VERIFICATION PROBLEMS form. Be sure to change the item status back to cataloguing status (CT) and then return both item and form to the Cataloging Errors box.

4. Once the item is verified, check the following:

a. If the item has an arrival letter, it should be placed on the desk of the Electronic Resources Librarian. Keep the slip with the item.

b. If there is a colored slip in the book, refer to the Verification Procedure for Items Intended for Display.

c. Otherwise, change the status to DT (display) in ALEPH Circulation, and then place the item on the second shelf of Donna's cart.

Patron interface verifying : ODIN Classic

In certain instances, the record in PRIMO will not be available, so you will need to verify that the record is present in the ODIN Classic interface.

1. Open the ODIN Classic catalog

2. Search the item by title or part of the title. Do Not use article: a, an, & the in the title search!

3. Go through the results, and match the item with the correct entry. If you do not find the item at all, complete the bottom part of the VERIFICATION PROBLEMS form.  Be sure to change the item status back to cataloguing status (CT) and then return both item and form to the Cataloging Errors box.

4. On the record page, verify that the Record Format is correct.

5. Click on the All Items link, and make sure that all of these match.

a. Barcode

b. Collection - also find this by checking on the All Items link. You need to cross check this against the collection locations on the cheat sheet. For instance, if there is item with yellow label cover and the call number is starting with NDC, this item should be North Dakota Collection – 1st floor.

c. Call number (Pay special attention to pre-stamps and post-stamps). Sometimes the post-stamp will be in the description column.

d. Item status - again, check the cheat sheat

6. If you find anything odd or inconsistent that doesn’t seem right, complete the bottom part of the VERIFICATION PROBLEMS form.  Be sure to change the item status back to cataloguing status (CT) and then return both item and form to the Cataloging Errors box.

7. If everything looks correct, check to see if there is an arrival letter with the item. If so, write on the slip "Not showing in Primo".

8. Continue onto the Patron interface verifying : WorldCat step.

Verification Procedure for Items Intended for Display

After verification is complete and all errors are corrected, instead of shelving the specified items, follow this procedure:

  1. Use the colored marker located in the item, identify the Display Status the item should be placed on
    1. DI = Yellow
    2. FL = Red
    3. SD = Blue
    4. DT = Orange
    5. CH = Neon green plus spine label CC
    6. RE = Neon pink plus spine label ER
  2. In the circulation module, choose Item Status and change to the correct Display Status as indicated by the colored marker.
  3. Add a spine label if indicated to the item.
  4. Follow any additional instructions assigned for these items.

Closed Stacks items

When you verify Closed Stack items in the Patron Interface, do the following steps differently:

a. When you normally would scan in the barcode, instead type it in based on the label outside of the paper.

b. When you have finished with all steps of verifying, place the item on the second shelf of the Library Director's cart.
