Daily Tasks for Student ILL Assistant

1. Log into OCLC WorldShare

2. Check the Lending column and fill any new loan requests.

3. Check in any returned items that have arrived in the mail.

How to Lend an Item in OCLC WorldShare

1. Log into OCLC WorldShare

2. Check the Lending column for any new requests. These will show up under the words Can You Supply? Loans refers to physical items, like books or DVDs, and Copies refers to articles or book chapters. These instructions are for Loans only.

Click the New - Loans link to view the loan request(s).

3. Click the Request ID Number to view the request information.

4. On the request screen, first, check the Borrowing Information to make sure that the borrower is based in the U.S. Due to postage costs, we will not lend to international borrowers. (Exception: Canada - Check with director for approval.)

Then, click the link that says Search my library's online catalog. This will open a new tab with a search for the requested item in the VCSU library catalog. (This usually works, but not always. If this doesn't correctly locate the item, copy and paste the item's title and search the catalog manually.)

5. Before doing anything else, retrieve the item from the shelf. (Important: Do not click Yes before retrieving the book. Clicking Yes tells the borrower you have filled the request. If you can't find the item, there's no way to undo this.)

6. Once you have the item in hand, click the check box next to Print Book Straps/Stickers, and click Yes.

7. After clicking Yes, the request moves from the Lending Requests page to the Print Queue. Click the Print Queue menu, and then click Book Straps/Stickers.

     

8. On the Book Straps/Stickers page, click the check box to select any items that need printed, and click the Print button.

9. A PDF document will open with the Request ID, barcode, and request and item information. Print this document.

After printing the document, click the Remove All link in the Print Queue menu to remove it from the Print Queue.

10. Next, the item needs to be checked out in ALEPH Circulation. Use the ILL for NDV library card, included with the ILL materials, or look up the ILL for NDV account in ALEPH Circulation.

11. Check out the requested item to the ILL for NDV account. (If there are overdue items on this account, you may need to click the Override button at the right of the screen in order to check the item out. Be sure to be logged in to ALEPH Circulation with the NDVILL account, which will give you override privileges.)

12. After checking out the item, click the Loan Notes button on the right side of the screen. In the Note box, scan in the barcode on the WorldShare ILL printout.

13. Create a shipping label, package the item, and place it in the outgoing mail.

How to Check In an Item in OCLC WorldShare

1. Log into OCLC WorldShare.

2. Scan the request barcode or type the request number (found on the paper inside the item) in the search blank.  If you scanned the barcode, the request page should come up automatically.

2a. If the item doesn’t have a request paper, you can search it by title (choose Title in the drop down menu) or browse through the items in the Returned/In Transit menu.

3. Once the request is showing, click on the button that says Checked-In/Complete

4. A message saying Record has been updated: (Request #) will be on the next page if it was processed right.

5. The request is now closed in OCLC, but still must be checked in using ALEPH Circulation.

6. Open the ALEPH Circulation window and navigate to the pink check in tab. Scan in the item barcode as you would with any other returned item.
